RSVP for the 5th Annual Team HBV Collegiate Chapter Conference!

1. REGISTER for the Collegiate Chapter Conference! Deadline: October 20th. 

We are capping the total number of participants to 34, not including host institution.

  • The first delegate to a chapter gets priority.

All participants must pay the $50 registration fee.

  • $50 per person, includes food and lodging. Travel should be covered by your school/chapter. Remember to keep all receipts.

  • We are staying at the Sheraton Palo Alto. Address: 625 El Camino Real, Palo Alto, CA 94301.

Travel Subsidies: 

  • The Asian Liver Center will match 100% of whatever your chapter fundraises for one participant to attend the conference, up to half the cost of your ticket. For example, if your chapter needs to pay for a $500 plane ticket, you will need to raise $250 and the Asian Liver center will match that for a total of $500. The objective of this change is to incentivize you all to fundraise. Ideally, you will be able to use some of the fundraising money toward sending additional members to the conference (see note below about extra conference participants) and save the rest for your own chapter events!
  • Reimbursements will be capped at $250 for mid-west and east coast, and $150 for west coast (including Las Vegas), and flights must be booked at least 3 weeks before the conference with the lowest fare selected. We will send out another registration for your travel information in the coming weeks. This will insure that we have a confirmed number of conference participants as well as keeping your own flights as cheap as possible!
  • We recognize that raising this amount of money is no easy task. Some of you receive no funding from your school; some of you are new or struggling chapters. Therefore, we will have a waiver option so that chapters can justify their need for increased subsidy.
  • We also realize that tickets prices go up as we get close to the event and you may be unaware of whether you can raise the money and who is going to go. We encourage you to decide ASAP and purchase your tickets early. Then fundraise. Remember, there is the waiver option for increased assistance. To be considered for increased subsidy, a chapter must book a flight at least 4 weeks in advance at the lowest price and make a legitimate attempt at fundraising.
  • If you need some advice on fundraising ideas, please don’t hesitate to contact us at advisors@teamhbv.org. We will provide some fundraising documents in the coming months to help your chapters raise money.
  • Reimbursement will occur post-conference. Check must be sent to the individual whose name is on the flight receipt. PLEASE save your receipt. Reimbursement for driving is by mileage; please provide a map when requested.

3. SUBMIT YOUR ABSTRACTS

Every year, chapters have the opportunity to present their accomplishments at the conference in either a poster presentation or oral presentation format. We highly encourage chapters to present as it is important for us all to share ideas.
